KYC and Verification

Why We Verify Your Identity

At Alawin, verifying your identity is a critical component of our commitment to maintaining a secure and trustworthy gaming environment. This process is mandated by our licensing authority and international regulations designed to prevent fraud, money laundering, and underage gambling. By confirming who you are, we protect both our players and the integrity of our services. Your cooperation ensures a safe and responsible platform for everyone.

What KYC (Know Your Customer) Means

KYC, or "Know Your Customer," refers to the mandatory process of identifying and verifying the identity of our customers. It is a fundamental requirement for financial institutions and online gambling operators like Alawin. This process involves collecting and assessing specific personal information and documentation from you. The goal is to confirm your identity, assess potential risks, and comply with legal obligations aimed at combating financial crime and ensuring responsible gaming practices.

When Verification Is Required

Verification is an ongoing process that may be triggered at various stages of your interaction with Alawin:

  • Upon Registration: We typically request initial verification details when you create an account to establish your identity from the outset.
  • Before Your First Withdrawal: To comply with anti-money laundering regulations and ensure funds are returned to the rightful account holder, full verification is often required before your first withdrawal.
  • Deposits Exceeding Certain Thresholds: If your cumulative deposits reach specific regulatory limits, additional verification may be requested.
  • Suspicious Activity: Any activity on your account that appears unusual or inconsistent with normal play patterns will prompt further verification.
  • Periodic Reviews: We conduct periodic reviews of customer information to ensure our records remain accurate and up-to-date.
  • Changes to Account Information: If you update key personal details, we may require re-verification to confirm the changes.

Documents You May Be Asked to Provide

To complete the verification process, you will typically need to provide clear, legible copies or photographs of specific documents. These documents help us confirm your identity, address, and payment methods. All documents must be valid and unexpired.

Proof of Identity

To confirm your identity, we generally require one of the following official government-issued documents:

  • Passport: A full copy showing your photograph, name, date of birth, place of birth, and signature.
  • National Identity Card: Both the front and back of your official national ID card.
  • Driving Licence: Both the front and back of your valid driving licence.

The document must clearly show your full name, date of birth, a photograph, the issue date, and the expiry date. All four corners of the document must be visible.

Proof of Address

To confirm your residential address, we require a document issued within the last three months that clearly displays your full name and current address. Acceptable documents include:

  • Utility Bill: Such as electricity, gas, water, or internet bill. Mobile phone bills are generally not accepted.
  • Bank Statement: A statement from a recognized financial institution.
  • Government-Issued Correspondence: For example, a tax statement or official letter from a government agency.

The document must be dated within the last three months and show all four corners. Screenshots of online statements are acceptable provided they include the full URL or website address at the top or bottom of the page.

Payment Method Verification

Depending on the payment method you use, additional verification steps may be necessary to confirm you are the legitimate owner of the funds. This is crucial for preventing fraud and complying with anti-money laundering regulations:

  • Credit/Debit Cards: We may request a copy of the front of the card, showing the first six and last four digits of the card number, your name, and the expiry date. The middle digits and the CVV/CVC code on the back should be obscured for your security.
  • E-Wallets (e.g., Skrill, Neteller): A screenshot of your e-wallet account profile page clearly showing your name and email address associated with the account.
  • Bank Transfers: A copy of a bank statement or a screenshot of your online banking portal showing your name, account number, and the bank's logo.

Ensure that any sensitive information, such as full card numbers or transaction details not relevant to ownership, is redacted or obscured.

Source of Funds and Enhanced Due Diligence

In certain situations, particularly for high-value transactions or if regulatory requirements dictate, Alawin may be required to request information regarding your Source of Funds (SoF) or Source of Wealth (SoW). This is part of our Enhanced Due Diligence (EDD) process. This information helps us understand the origin of the funds you are using on our platform and ensures compliance with anti-money laundering obligations. Documents that may be requested include:

  • Payslips or employment contracts.
  • Bank statements showing regular income.
  • Proof of inheritance, property sale, or other significant financial events.
  • Business ownership documentation.

Any information provided will be treated with the strictest confidentiality and used solely for compliance purposes.

The Verification Process and Timeframes

Once you submit your documents, our dedicated verification team will review them. We aim to process all verification requests as quickly as possible, typically within 24 to 48 hours. However, during peak times or if additional information is required, this timeframe may be extended. You will receive notifications regarding the status of your verification via your registered email address or within your Alawin account. Please ensure that all submitted documents are clear, complete, and meet the specified requirements to avoid delays.

Keeping Your Documents Safe

Alawin is committed to protecting your personal data. All documents and information you provide are encrypted and stored securely in compliance with data protection regulations, including GDPR. Access to your documents is strictly limited to authorized personnel involved in the verification process. We will never share your personal information with third parties for marketing purposes. Your privacy and security are paramount to us.

Anti-Money Laundering Compliance

Alawin operates under a strict anti-money laundering (AML) policy. Our KYC procedures are a cornerstone of this policy, designed to detect and prevent activities associated with money laundering and terrorist financing. By verifying your identity and monitoring transactions, we fulfil our legal obligations to our licensing authority and contribute to global efforts against financial crime. We reserve the right to report any suspicious activity to the relevant authorities.

Age Verification and Protecting Minors

Underage gambling is strictly prohibited at Alawin. A crucial aspect of our verification process is confirming that all our players are at least 18 years of age, or the legal age of majority in their jurisdiction, whichever is higher. This is a non-negotiable requirement. Any account found to belong to a minor will be immediately closed, and any winnings will be forfeited. We employ robust age verification checks to protect vulnerable individuals and maintain a responsible gaming environment.

If Verification Is Delayed or Unsuccessful

If your verification is delayed, it is often due to unclear documents, missing information, or documents that do not meet our requirements. We will contact you to request further details or clarification. If verification is ultimately unsuccessful, it may lead to limitations on your account, such as restrictions on deposits or withdrawals, or in some cases, account closure. We will always provide a clear explanation for any unsuccessful verification attempt and guide you on the steps needed to resolve the issue, if possible.
